Document templates: create a PDF from a template in the workspace

What it is and what it is for

A document template is your letterhead with placeholders, for example for a quote, invoice, letter or certificate. PaperOffice turns it into a PDF and files it in the workspace. The Document templates page is available from the Corporate plan. Only administrators can create and change templates. In the app, a Creator Agent fills the template. To create a PDF with your own values, use the API or MCP.

How it works

  1. Open Document AI → Document templates and click New template.
  2. Choose From starter or Blank template.
  3. Adjust the Content, Fields & sample data and Page tabs.
  4. Click Check template and look at the Preview. Save with Create template.
  5. To use it in the app, choose Create Creator Agent on the template.

Good to know

  • To reuse a Word document with your letterhead: Documents → select the document → Actions → Agents & workflows → Use as document template. This works with Word, OpenDocument, RTF, HTML and text files. PDF files are not supported yet.
  • The result is always a PDF.
  • Every content change creates a new version. You restore older versions in the Versions tab.
  • Templates cannot run scripts or load external content. Images must be embedded.
  • Deactivated templates can no longer be used by Creator Agents and the API. Their versions are kept.
  • Every created document is a paid feature.
