Audit-proof archiving: WORM, retention period and legal hold

What it is and what it is for

WORM makes a document audit-proof. Its document type and retention details are then locked. Changes only happen as a new version with a required comment. A legal hold is a deletion lock, for example during a legal case.

How to do it

  1. Open the document. The Overview tab shows “Not revision-secure”.
  2. Click Activate WORM retention. The Revisions tab opens.
  3. Choose the Period start: immediately or at year end.
  4. Click Activate WORM retention now (irreversible).

For a legal hold, click Place legal hold in the document, enter a reason and confirm. Use Release to lift it.

Good to know

  • WORM applies per document and cannot be undone.
  • WORM is available from the Business workspace type. You change the type in the workspace settings.
  • WORM is not available on your own storage (BYOS).
  • A legal hold blocks deleting, moving and renaming, including all versions, regardless of the retention period. It also works without WORM.
  • In the app, owners and administrators of the organization place legal holds.
  • Activating WORM is paid.
  • Audit records are under Analytics AI → Audit Center.
  • PaperOffice supplies versions, checksums, an access log and retention terms for rules such as the German GoBD. Whether your process as a whole is sufficient is for your tax advisor to judge, based on your process documentation.
