Contracts, deadlines and business partners in PaperOffice AI: the complete guide

Overview

Three functions work together so that you do not miss deadlines and keep track of your business partners:

  • Contract deadlines: PaperOffice reads the key dates from contracts and calculates the last day you can cancel.
  • Relations AI: PaperOffice creates organizations and people from your documents and lists their deadlines.
  • Knowledge Graph: PaperOffice connects documents through companies, people, amounts and shared numbers.

All three need documents processed with AI-DMS. Contract fields and the Knowledge Graph need the tier Premium or Ultra; Basic does not read these contract fields and creates no connections.

Contract deadlines: when can you cancel?

For contracts, PaperOffice reads the key dates: start date, term, end date, notice period, termination point, automatic renewal and contract type. From these it calculates the last day you can cancel.

  1. File the contract in a workspace with the Premium or Ultra tier and wait until processing has finished.
  2. Open the contract on the Overview tab.
  3. Read the Deadlines card. It shows, for example, the last day to cancel with the days remaining.
  4. Use the source reference to check the passage in the contract.
  • The fields are filled only for contracts, for example amendments, NDAs, data processing agreements, rental, leasing, loan and employment contracts, and insurance policies.
  • The date is recalculated each time you open the document.
  • If the contract renews automatically and the deadline was missed, the card shows the next chance to cancel. Without renewal, the card shows when the contract expires.
  • If a required value is missing, for example the notice period, the Deadlines card shows what is missing for a cancellation reminder.
  • If the contract can be cancelled at any time, there is no fixed last day to cancel.

Reminders for the last day to cancel

From the contract details, Relations AI creates a deadline task for the last day to cancel. If the workspace setting “Reminders for automatically created deadline tasks” is switched on (paid), PaperOffice reminds you 30 and 7 days before the last day to cancel. The reminder for the contract end continues as before.

  • The reminder 30 days before arrives as an in-app notification and as a push notification (if allowed); the reminder 7 days before also arrives by email.
  • It goes to the person assigned to the deadline task, otherwise to the person who uploaded the document. No reminders are sent at night; they follow in the morning.
  • If the contract renews automatically, the deadline task moves on to the next chance to cancel once the last day to cancel has passed.
  • If a required value is missing or the contract can be cancelled at any time, no reminder is created.
  • For contracts filed earlier, the reminder is created once the document is processed again.
  • For additional reminders, create a task with a due date on the Activities tab.

You switch the reminders on per workspace: open Document AI → Workspaces, edit the workspace, and on the General tab switch on the reminders for automatically created deadline tasks. The switch is off by default.

Relations AI: companies, people and deadlines

Relations AI builds a directory of the companies and people you deal with, based on your documents. Name, VAT ID, email, phone and bank details come from the documents, and every document is linked to its organization. Relations AI is not a CRM: there are no leads, pipeline or sales opportunities, and people are only created from documents.

  1. Process your documents with AI-DMS. Organizations and people then appear automatically.
  2. Open Relations AI → Organizations or People to see the linked documents.
  3. Under Relations AI → Network, you see document deadlines such as payment due dates, contract end, resubmission and other deadlines.

Every detected deadline creates a task. You open the source document or mark the task as done. Old documents whose deadline passed long ago get no task, and documents without a detected deadline get none either.

Knowledge Graph: which documents belong together

The Knowledge Graph links your documents through companies, people, amounts and shared numbers such as invoice, order or case numbers. You see which documents belong to one transaction.

  1. Open Analytics AI → Document Network. You see objects and their connections; click an object to see its documents. Under Options, filter by object type and choose how many objects are shown. Analytics AI is available from the Corporate plan.
  2. In Documents, choose the view Transactions to see documents and their connections as a network. The Timeline view shows documents by date.
  3. Under Analytics AI → Sender Map, you see where your senders are located.
  • If no objects are shown, process the documents with AI-DMS Premium or Ultra first. You do not need Ultra.
  • Tax, VAT and bank identifiers never link documents, and very frequent values do not either.
  • You can ask the graph questions in your own words through the API or the MCP server, for example from Claude. This is paid.
  • External share users have no access. Team members only see their shared workspaces.
